Definition

What is return link tracking?

Return link trackingis the practice of monitoring every backlink you've given to and received from a partner site, calculating the running balance per partner and per project so you know who owes who. It exists because link exchanges break the moment one side stops reciprocating, and without tracking, that moment is invisible until rankings drop.

Core metric

Per-partner balance: (links they gave us) - (links we gave them). Updates live on every published / removed link.

Why it matters

Over-giving silently bleeds equity. Agencies that don't track balance routinely give 2-3× more links than they receive without realizing.

Tracked dimensions

Count balance · DR-weighted balance · Partner · Project · Workspace rollup · Days pending · Days since last exchange.

Replaces

Spreadsheets · Inbox folders · Memory · Generic CRMs that don't have a reciprocity primitive.

Partner States

Every partner gets a state, automatically

The balance number drives a state, so your team can scan a partner list and know instantly who's healthy, who needs a nudge, and who to pause.

vs. Spreadsheets and Sales CRMs

Why nothing else does this properly

Spreadsheets need manual updates. Sales CRMs have no reciprocity primitive. Backlink monitors only check what already exists.

Capabilities

12 capabilities your link team actually needs

Everything purpose-built around reciprocity, not retrofitted from a sales CRM.

Per-partner balance

Every partner has a real number: 'They gave us 5, we gave them 7, balance -2.' Updates on every link published or removed.

Workspace rollup

Sum across every client project. Catches the case where two clients independently exchange with the same partner.

Over-given warnings

Pause further outreach to partners who haven't reciprocated. Configurable threshold (default: 2-link deficit).

Risky supplier flag

Partners who consistently don't reciprocate get flagged for review. LinkSwapy excludes them from bulk campaigns by default.

Pending reminders

Warning at 14 days, Critical at 30 days. Per-project thresholds. Slack and email notifications optional.

Live balance updates

Balance reflects live link status. If a partner's link breaks, their balance updates automatically, no manual reconciliation.

DR-weighted mode

Switch from count-based to value-weighted: each link contributes partner's DR / 10. Fair for mixed-authority partners.

Visibility per client

Per-project balance for agency client reports. Show clients what was given, received, and the net position.

Net positive partner list

Find partners who give more than they receive, your best relationships, ranked by net contribution this quarter.

Net negative partner list

Find partners you over-give to. Auto-paused until they catch up.

Full history per partner

Every link given, every link received, with timestamps, anchors, target URLs, and current live status.

A-B-C exchange support

Three-way exchanges tracked as a chain. Each leg has its own balance contribution and recovery workflow.

Common Failures

Where over-giving silently bleeds value

Forgotten return links

Partner gives you a link, you agree to reciprocate, weeks pass, neither side remembers.

Two-way deals that go one-way

You publish first, the partner stalls, you've already given without receiving.

Over-eager team members

Different teammates close deals with the same partner, neither knows what the other gave.

Time-decay accountability

A return link promised in March is hard to follow up on in September without a system.

Asymmetric value

You give DR70, they give DR30. Track not just count but value of links exchanged.

No client visibility

Agencies need to show clients what was given and received, not just total live links.

Questions

Frequently asked questions

Everything teams ask before trusting reciprocity tracking to one tool.

What is return link tracking?

Return link tracking is the practice of monitoring every backlink you've given to and received from a partner site, calculating the running balance per partner and per project so you know who owes who. In LinkSwapy, the balance updates the moment a link is published, removed, redirected, or noindexed, so the number you see is always current.

How is the exchange balance calculated?

By default, each live, dofollow link counts as +1 in one direction and -1 in the other. The default mode is count-based: 'They gave us 5, we gave them 7, balance = -2.' You can switch to DR-weighted balance (each link's value = partner's DR / 10) when partners with very different authority should be valued differently.

What is an 'over-given' partner?

An over-given partner is one where your given count exceeds their given count by a threshold you set (default: 2 links). LinkSwapy shows them with a warning badge and excludes them from bulk outreach by default until they reciprocate. This stops your team from continuing to publish links to partners who aren't returning the favor.

When do return-link reminders fire?

Configurable per project. Defaults: a Warning at 14 days pending and a Critical alert at 30 days pending. Reminders surface in your Alerts inbox, on the deal page itself, and optionally via Slack or email. Each reminder includes the partner contact and a pre-filled follow-up message.

Does LinkSwapy work for A-B-C three-way link exchanges?

Yes. A-B-C three-way exchanges are first-class deal types. LinkSwapy tracks both legs of the chain (you publish for B, B publishes for A) and accounts for each side's balance independently so neither leg gets forgotten or double-counted.

Can return-link balance be tracked across multiple agency clients?

Yes. The CRM operates at two levels: per-project balance (one client's exchanges) and workspace-level rollup (every project combined). The workspace view catches the case where 'Client A' and 'Client B' independently exchange with the same partner, so your agency doesn't over-give in aggregate without realizing.

What happens if a partner removes a link they gave us?

LinkSwapy's monitoring detects the loss within 24 hours (Agency / Scale: hourly; Growth: every 3 days; Starter: weekly). The partner's balance automatically updates: their +1 reverts. If you're already monitoring a recovery workflow, the link drops into your Lost Links queue with the partner contact pre-attached.

Can I weight balance by link value instead of just count?

Yes. Switch to DR-weighted mode in workspace settings: each link's contribution to balance is partner's DR / 10 (so a DR70 link is worth 7, a DR30 link is worth 3). Useful when you trade with very high- and very low-authority sites and want a fair value comparison.

Is return link tracking different from a generic CRM?

Yes. Generic CRMs (HubSpot, Pipedrive, Salesforce) have no concept of reciprocity, link types, or balance. They model deals around dollar values. Return link tracking is a primitive of link partnership management, LinkSwapy models it as a first-class data structure, not a custom field.

Can I see a public-facing report of mutual exchanges?

Yes. On Agency and Scale plans, you can generate a white-label monthly partner report showing every link given, every link received, and the running balance, useful for transparent agency-client conversations or for showing partners the value of the relationship.
