What the record is for
Ask most teams what their link building CRM is for and they will say tracking. The more useful answer is that it exists so a human can be reached about a specific link, eighteen months after the conversation that produced it.
Consider the moment a placement disappears. You need four things fast: the exact page it was on, the anchor and target you originally agreed, the reason it probably died, and a person to email. The first three are recoverable from almost any record. The fourth is the one that decides whether recovery happens at all, and it is the one that lives in somebody's inbox by default.
A supplier record's real job is making sure somebody can email a human about a specific link, long after the original conversation.
Inboxes are a terrible place for it. They are private to one person, they do not survive that person leaving, they are not searchable by domain, and the thread you need is often the one your colleague ran rather than you. So the practical function of a supplier record is moving the contact out of a private mailbox and onto the domain, where anyone on the team can find it in the two weeks that recovery outreach still works.

None of that is data anybody sets out to collect. It accumulates as a side effect of doing the work, and it is worth real money the first time a new hire considers pitching a domain you rejected last year for good reason.
Which is why last contact date sits at the top of the record rather than buried in a history tab. It is the single field that prevents the most common self-inflicted wound in team link building: two people approaching the same publisher in the same week, each doing nothing wrong.
Shared versus scoped
The structural decision that matters most in a multi-client CRM is which records are shared across projects and which are isolated inside them. Get it backwards and you either leak client data or throw away the intelligence that makes the database valuable.
