Definition

What link building software should cover

Link building software should span the whole lifecycle of a placement, not just the part where you ask for it. That means qualifying supplier domains against a written bar, storing contacts and outreach history so a teammate does not email the same editor twice, recording deals with their actual type and obligations, verifying on a schedule that published links are still live with the agreed anchor and rel attribute, catching the ones that die while recovery is still possible, and turning all of it into a report somebody outside the team can read. Tools that cover only one of those stages are useful, and they leave the seams between stages as your problem.

01

Stage one, qualification

Mechanical checks on status, indexability, language, and outbound links before anyone spends outreach time.

02

Stage two, conversation

Contacts, templates, logged sends, and follow ups that stop firing the moment somebody replies.

03

Stage three, the deal

Typed correctly: reciprocal, three way, ratio, insertion, guest post, or paid. Each carries different obligations.

04

Stage four, the placement

Verified on a cadence, with history stored, so link lifetime becomes a measurement rather than a guess.

Why one workspace

The value is in the seams

Any single module here exists as a standalone product somewhere, and most exchange software stops at the reply. The reason to keep them together is that the expensive failures all happen in the gaps between them.

Take a lost link. A monitoring tool tells you a placement disappeared. Useful, and incomplete, because the next question is who to email, and that answer lives in a CRM the monitoring tool has never heard of. So somebody searches their inbox, does not find the thread because a colleague ran that outreach, and the recovery window closes while the information sits fifteen feet away in another system.

A monitoring tool tells you a link died. It cannot tell you who to email, and that is where recovery actually fails.

Or take a reciprocity failure. A partner removed their link because the one you promised never went live. The outreach tool recorded a closed deal. The monitoring tool recorded a lost link. Neither one connects those two facts, so the loss gets logged as an editorial removal and somebody sends a recovery email that should have been an apology and a published link.

Or the duplicate approach. Two account managers email the same publisher in the same week, because each was working from their own client's prospect list. Nothing in either workflow was wrong. The information that would have prevented it, that this domain was contacted three days ago, only exists if suppliers are shared across projects rather than duplicated inside them.

That is the argument for a shared data model rather than a suite of integrations. Every module reads the same supplier record, the same contact, the same deal, and the same monitoring history. The recovery queue can attach a partner contact because the contact was never stored anywhere else.

Starting points

You do not need all eight on day one

Most teams adopt this in one of three orders, depending on what is currently hurting. Worth knowing which one you are, because trying to stand up every module at once is how a rollout stalls.

If you have links and no visibility, start with monitoring and recovery. Import every placement you know about, including old ones, and let the first full check run. That cycle is the most informative thing that will happen in your first week, and it typically surfaces placements that switched to nofollow, source pages returning errors, and targets that now redirect twice before landing. You will not need the CRM until you start acting on what you find.

If you have a reciprocity problem, start with the supplier CRM and return link tracking. Backfill your partners and their exchange history, then read the balance column. The common outcome is discovering one or two partners considerably further ahead than anyone thought, which is a short afternoon of conversations rather than a project.

If your problem is reporting, start with projects and the report module. Get one client's inventory in, generate a report on a quiet day rather than a deadline, and adjust the wording before it matters. Then work backwards into deals and monitoring so the next report assembles itself.

The modules share records, so adopting them in stages costs nothing later. Nothing needs migrating when you switch on return link tracking three months after monitoring, because the deals it reads were already being recorded.

Pick your entry point

  • No visibility into existing links: monitoring, then recovery
  • Partners not reciprocating: supplier CRM, then return link tracking
  • Reporting eats your month: projects, then reports
  • Prospecting at volume: bulk domain checker, then outreach
  • Team stepping on each other: shared supplier CRM first

Terminology

Terms used across the modules

These appear throughout the product and the rest of this site, so they are worth reading once. The full glossary has another hundred.

Project
The container that scopes dashboards, deals, alerts, and reports. Usually one client website, product line, or campaign.
Supplier domain
A site you can realistically get a link from, once it clears your qualification bar. Before that it is a prospect.
Deal type
Reciprocal, three way, ratio, insertion, guest post, or paid. Determines the obligations and the disclosure treatment.
Return link
A link owed in either direction as part of an exchange, and a liability on the balance until verified live.
Monitored link
A published placement checked on your plan's cadence for presence, anchor, rel attribute, and indexability.
Lost link
A placement previously verified live that is not live now, for any of six distinct causes.
Workspace rollup
Balance and inventory summed across every project, which is the only view that catches a shared partner.
Survival rate
The share of placements still live after a given period. The output that stored monitoring history makes possible.

Questions

Frequently asked questions

Everything teams ask before consolidating their link-building stack.

Do I need to install integrations to get value?

No. LinkSwapy works on its own with CSV import, manual outreach tracking, and built-in domain signals. Optional integrations (Slack, email, DataForSEO / Ahrefs / SEMrush API) layer on later when you want them.

Can I use one module without the others?

Yes. Many teams start with just Backlink Monitoring and Lost Link Recovery, then expand into Supplier CRM, deals, and reporting as they grow. All modules share the same data so you can grow into them. See what a full exchange workflow needs.

How is this different from a generic CRM like HubSpot or Pipedrive?

Generic CRMs are built around sales deals with dollar values, reps, and quotas. Link building has different primitives, supplier domains, anchors, target URLs, deal types, return-link balance, and monitoring history, and LinkSwapy models those directly. See the spreadsheet and CRM comparison.

How is this different from a single-purpose backlink monitor?

Backlink monitors check links you already have. They don't manage the outreach that produced those links, the return-link balance, supplier qualification, or deal records. LinkSwapy covers the full operation in one workspace.

What if I outgrow my starting plan?

Plans upgrade in place, same workspace, more seats, more monitored links, longer monitoring cadence. Premium SEO API lookups are credit-based so you only pay for what you check.
